The key is to start with ‘single source’ artwork and documents. Create smart objects that interact with a database to grab these details. The details are only stored in the database and fetched each time a document / artwork is produced. Form letters are an example of this : Dear {First_Name,Last_Name}.

If that is too complicated for your application, stop using paper and move to an online single source directory of files maintained by one person. Anybody wanting a price or specification looks up the latest version onscreen as required.
